Hiring Documents 

Note: There are two contracts you will receive: one to hire you and one for when you have an active teaching assignment. 

  • If you are not already on UVM’s payroll system, you will need to complete a hiring contract and payroll paperwork. 

We typically begin the hiring process 3 months prior to the work assignment begin date (reference the launch date to inform when online development begins) 

Hiring Step One: Paperwork and I-9 Form 

  • You will receive a link from your Program manager to upload your hiring information via the PACE New Instructional Staff Onboarding Form.  Upon completion, you will be sent a hiring contract. Follow the instructions to accept the contract. 
  • The hiring contract will include a link to the Employee Information Form. Please fill out and submit this brief form when you accept the contract. See Hiring Step Two below for instructions on how to return the form. 
  • A separate email will be sent to you from Workbright containing a link to complete an I-9 form remotely. You will need identification documents, such as a US Passport, and a second person to verify your documents as you complete this form. 

Please note that you may not begin work until these forms are approved by UVM Human Resources. 

Hiring Step Two: Securely Send Your Paperwork 

  • Send the completed Employee Information Form via secure file transfer by going to this site:  
    • https://filetransfer.uvm.edu/ 
    • Select “Send to a UVM affiliate” 
    • Key in pacefinance@uvm.edu for the recipient.  
    • Drag and drop the form into the designated space. 
    • Click the blue “Share Files” button in the lower left. 
    • Please do not send this form via regular email

Hiring Step Three: Look For Your Welcome Packet  

  • Once you are set up in UVM’s payroll system, you will receive your UVM net ID (username/login) and instructions on how to activate it.  This will allow you to access UVM’s Learning Management System (LMS) and your course materials. 
  • Complete required information for Direct Deposit in PeopleSoft (link provided in your Welcome Packet). 

Payment Contract 

Your payment contract for each course you are developing or teaching will be sent separately.  You will be asked to confirm that all information in your payment contract is accurate; if you are teaching or developing multiple courses in an upcoming term, you will receive separate payment contracts to consider.  You must accept your payment contract(s) by following the prompts in the email to confirm your availability and willingness to perform the work.

If you are presenting a custom or corporate training, please refer to your hourly or flat rates, with travel stipends and development pay as specified in your contract.
